Work Order Summary Report

Summary of all work orders by type, status and estimated cost for the current period.

Equipment Availability Report

Shows operational status distribution across all registered equipment.

Maintenance Cost Report

Actual vs. estimated maintenance costs by equipment and by month.

Breakdown Analysis Report

Root cause analysis, downtime hours and production impact for all logged breakdowns.

Equipment Tab

  1. View all registered plant equipment in the table. Green dot = Operational, Orange = Under Maintenance, Red = Breakdown.
  2. Use the Type, Location, and Status dropdowns to filter the list for specific equipment subsets.
  3. Click + Add Equipment to register a new asset. The Equipment Code (IACP/EQ/NNN) is assigned automatically.
  4. Click View History on any row to see all work orders and breakdowns associated with that equipment.
Always verify the Serial Number before registering new equipment to avoid duplicate records.

Work Orders Tab

  1. Click + Create Work Order to raise a new WO. Select equipment, type (Preventive/Corrective/Emergency), and set priority.
  2. Assign the WO to a technician and set a due date and estimated cost.
  3. When work begins, click Start to move status to In Progress.
  4. On completion, click Complete to enter actual cost, labor hours, completion notes and parts used.
  5. Use filters by Type, Priority, Status, or Equipment name to find specific work orders quickly.
WO Numbers follow the format IACP/WO/YYYY/NNN and are auto-generated.

Maintenance Plans Tab

  1. Click + Add Plan to create a recurring maintenance schedule for any piece of equipment.
  2. Set frequency (Daily, Weekly, Monthly, Quarterly, Annual), start date, assigned technician, and estimated duration and cost.
  3. Plans overdue (Next Due in the past) are highlighted in red. Plans due within 7 days are highlighted in orange.
  4. Click Generate WO on any plan row to automatically create a linked Work Order for that maintenance task.

Spare Parts Tab

  1. The Stock Register sub-tab shows all spare parts with current stock levels. Parts below reorder level are highlighted in red.
  2. Click Issue Parts to record parts consumed against a Work Order. This deducts from stock automatically.
  3. Click Restock to record a delivery of spare parts from a supplier. Stock is increased accordingly.
  4. Click + Add Part to register a new spare part in the system.
  5. The Movement Log sub-tab shows the full transaction history (issues and restocks) for all parts.
Part Codes are entered manually — use the format IACP/PT/NNN for consistency.

Breakdowns Tab

  1. Click Log Breakdown immediately when equipment fails. Select the equipment, enter the date/time, reporter name, description, and any immediate action taken.
  2. The OEE summary cards at the top show uptime percentage per equipment based on logged downtime hours.
  3. The downtime bar chart shows total downtime hours this month per equipment for quick visual analysis.
  4. When a breakdown is resolved, click Resolve to enter the root cause, resolution steps, actual downtime, and production impact.
Log breakdowns within 1 hour of occurrence. Accurate downtime data is critical for OEE calculations and insurance claims.

Reports Tab

  1. Select the report you need from the four available: Work Order Summary, Equipment Availability, Maintenance Cost, or Breakdown Analysis.
  2. Click the Print button next to the desired report to generate and print a formatted report.
  3. All reports include the IACP branding header with reference number, date, and department officer name.
