How to Use — Office Management
Step-by-step guidance for Office Staff, Receptionists, and IT Support
📍 Meeting Room Bookings

Use the Meeting Rooms tab to book available conference or boardroom spaces for internal meetings, visitor sessions, or training events.

Tip: Book rooms at least 24 hours in advance. Boardroom bookings for external stakeholders must be approved by Grace Nakato (Office Admin).
  1. Click + Book Room and select room, date, start/end time, and purpose.
  2. Enter the organiser name and number of attendees.
  3. Save the booking — status is set to Confirmed.
  4. Cancel bookings at least 2 hours in advance from the All Bookings tab.
👥 Visitor Management

The Visitors tab maintains a log of all estate visitors, including their host, purpose, and access level.

Tip: Visitors to the processing plant require safety induction forms before being escorted in.
  1. Click + Check In Visitor and enter name, company, host, and purpose.
  2. Click Check Out when the visitor departs to log departure time.
  3. The Overview panel shows all current on-site visitors in real time.
💻 IT Support Tickets

The IT Support tab is the helpdesk for all technology issues: computers, network, printers, software, and the ERP system itself.

Tip: For Critical ERP issues, log a ticket AND call the IT officer directly.
  1. Click + Raise Ticket, enter a description, set priority, and submit.
  2. IT officers update the ticket status as they work: Open → In Progress → Resolved.
  3. Click Resolve on an open ticket to mark it complete.
📦 Office Assets & Stationery

Track all office equipment in Office Assets. The Stationery tab manages consumable supplies requests and stock levels.

Tip: Assets above UGX 500,000 must also be added to the Finance fixed asset register.
  1. In Office Assets, register each item with name, category, location, quantity, and value.
  2. In Stationery, raise a requisition for supplies. Requests above UGX 50,000 require supervisor approval.
  3. Grace Nakato processes all stationery procurement requests.
🔔 Notice Board & Facilities

The Notice Board is used for official announcements. Facilities tracks building maintenance and utilities.

Tip: Only HR officers, the Office Admin, or management may post official notices.
  1. Post a notice with title, category, author name, and content.
  2. Urgent notices appear in the Urgent sub-tab and in red on the Overview.
  3. Archive a notice using the Archive button — it moves to the Archived tab.
  4. Log monthly utility readings (electricity, water, internet) in Facilities → Utilities.
