Payroll Processing Guide

1. Running the Monthly Payroll

  1. Go to the Run Payroll tab and select the correct month and year from the dropdowns.
  2. Click Calculate Payroll. The system reads all active staff from the HR staff register and computes gross pay, PAYE, NSSF, LST, and any other registered deductions.
  3. Review the payroll table carefully. Verify gross amounts, deductions, and net pay for each employee.
  4. If corrections are needed, update staff records in the HR module or update deductions in the Tax & Deductions tab first, then re-calculate.
  5. When satisfied, click Post Payroll. This saves the run to the payroll register and locks the draft. Status changes from DRAFT to POSTED.
  6. Click Export Bank File (CSV) to download the payment file for Stanbic Bank bulk upload.
Each payroll run is assigned a unique reference in the format PAY-YYYYMM-NNN. Keep this reference for all URA correspondence.

2. Adding Deductions

  1. Navigate to Tax & Deductions > Other Deductions.
  2. Click + Add Deduction and fill in the employee, deduction type (SACCO Loan, Salary Advance, Union Dues, Other), monthly amount, and number of months to deduct.
  3. For bulk entry, go to the Bulk Entry sub-tab and paste CSV data in the format: EmployeeID, DeductionType, Amount.
  4. Click Process Bulk Entries to preview, then Confirm & Save to apply.
  5. Deductions automatically reduce to zero when months remaining reach 0.

3. Printing Payslips

  1. Go to the Payslips tab. Filter by month, year, or search by employee name.
  2. Click View Payslip on any row. A formatted payslip modal will open showing all earnings, deductions, and net pay.
  3. Click Print Payslip inside the modal. The browser print dialog will open. Select your printer or save as PDF.
  4. The payslip automatically hides navigation elements — only the payslip content is printed.

4. Exporting the Bank Payment File

  1. After posting the payroll, click Export Bank File (CSV) on the Run Payroll tab.
  2. A CSV file downloads with columns: Employee Name, Bank Account, Net Pay Amount.
  3. Log in to Stanbic Bank Uganda internet banking portal and use the bulk payment upload feature.
  4. Use payroll reference number (PAY-YYYYMM-NNN) as the batch reference in the bank portal.

5. Tax Brackets and PAYE

  1. PAYE brackets are visible under Tax & Deductions > PAYE Brackets.
  2. To update a rate, click the rate cell in the table, type the new percentage, and press Enter or click elsewhere.
  3. Click Save Changes to persist the updated brackets to localStorage.
  4. URA monthly return data is auto-generated under the URA Monthly Return sub-tab after payroll is posted.
Important: Always verify PAYE bracket figures against the latest URA circular before each financial year begins.

6. Generating the P9 Annual Tax Certificate

  1. Go to Reports > P9 Certificate.
  2. Select the tax year and optionally filter by employee name.
  3. Click Generate to produce P9 summaries for all employees with payroll records in that year.
  4. Click Print Report to produce print-ready P9 certificates for distribution to staff (required by law by 31 January each year).
