📋 Activities & Work Breakdown Structure (WBS)

The Activities tab is the master task list for all construction and infrastructure works on the 150-acre estate. Each activity maps to a WBS element.

Tip: Always assign a phase (Phase 1 / Phase 2 / Phase 3) and a responsible person to every activity. Activities without owners fall through the cracks during weekly reviews.
  1. Click + Add Activity and fill in: WBS code, description, phase, responsible person, planned start, planned end, and predecessors.
  2. Update percentage completion as works proceed — the Overview KPIs recalculate automatically.
  3. Activities overdue by more than 7 days turn red in the Gantt view and trigger a notification to Kubariho Venture.
📈 Gantt Chart

The Gantt Chart provides a visual timeline of all activities, showing planned vs actual progress across the programme phases.

Tip: Review the Gantt every Monday in the site coordination meeting. Focus on the critical path — any delay on a critical path activity delays the whole programme.
  1. The Gantt auto-generates from the Activities register — no separate data entry needed.
  2. Use the filter controls to view by phase, responsible person, or status.
  3. Critical path activities are shown with a red outline — treat these as highest priority.
  4. Print or export the Gantt from Reports for inclusion in site progress reports to CEO.
🏁 Milestones

Milestones are key programme events — phase completions, inspections, handovers, and export readiness dates. They drive CEO-level reporting.

Tip: First export to Somalia is October 2025 — this is a programme-level milestone. All activities that feed into export readiness must be tracked against this date.
  1. Add milestones with a target date, owner, and linked activities.
  2. Mark milestones as Achieved when completed — they turn green in the timeline.
  3. At-risk milestones (activities behind schedule) are flagged amber. Escalate to Kubariho Venture immediately.
📖 Daily Log & Look-ahead

The Daily Log records site progress, weather, labour deployed, and issues encountered each day. The Look-ahead plan shows the next 2–4 weeks of planned work.

Tip: Daily logs must be submitted by the site supervisor before 6 PM each working day. Missing logs delay weekly progress report compilation.
  1. In Daily Log, select the date and zone, enter weather conditions, labour headcount, and activities completed.
  2. Note any blockers, material shortages, or safety incidents.
  3. In Look-ahead, the system pulls the next 14–28 days of activities from the programme. Supervisors add resource requirements (labour, plant, materials) for each upcoming activity.
Risk Register

The Risk Register tracks all identified programme risks — schedule delays, resource gaps, weather, contractor performance, and supply chain issues.

Tip: Any risk rated High or Critical must be reviewed in the weekly coordination meeting and a mitigation action assigned. Kubariho Venture signs off on all High/Critical mitigations.
  1. Add risks with: description, category, probability (1–5), impact (1–5), risk score, and mitigation plan.
  2. Assign an owner and a target mitigation date.
  3. Update risk status weekly: Open → Mitigated → Closed.
  4. Run the Risk Report monthly for CEO programme review.
