How To Use — Project System
Quick reference guide for Kubariho Venture and project team members
Tab 1 — Projects
- View the KPI summary cards at the top for a quick project portfolio overview.
- Use Status and Category dropdowns to filter the project list.
- Click + New Project to register a new project with code, budget, and PM.
- Click Edit on any row to update project details or progress.
- The progress bar turns orange above 80% spent-to-budget ratio.
Tab 2 — WBS
- Select a project from the dropdown to view its Work Breakdown Structure.
- WBS items are indented by level (1.0, 2.0 = top level; 1.1, 2.1 = child).
- Click + Add WBS Item and set the parent to create a hierarchy.
- Update status as work progresses (Not Started → In Progress → Complete).
Tab 3 — Tasks (Kanban)
- Select a project to view its tasks in the Kanban board.
- Cards are grouped: To Do, In Progress, Review, Done.
- Red-bordered cards are overdue — action required immediately.
- Click any card to open details, change status, or log time spent.
- Click + Add Task to create a new task for the selected project.
Tab 4 — Milestones
- All project milestones are listed with planned and actual dates.
- Traffic light dots indicate status: green=Achieved, gold=Pending, red=Delayed, orange=At Risk.
- The timeline below the table shows upcoming milestones chronologically.
- Click Mark Achieved on a milestone to record its completion date.
Tab 5 — Risks
- The risk register lists all identified risks with Probability × Impact score.
- The 3×3 risk matrix on the right shows which cells contain active risks.
- Score = Probability × Impact (H=3, M=2, L=1). Score 6-9 = High; 3-5 = Medium; 1-2 = Low.
- Click + Add Risk to register a new risk with mitigation plan.
- Update risk status to Closed once mitigated.
Tab 6 — Budget
- Select a project to view its budget breakdown by cost category.
- Bar chart visually compares budgeted vs spent per category.
- Click + Record Expenditure to log a cost against a category.
- Click Print Report to generate a formatted budget report for sign-off.
- Balance column turns red when expenditure exceeds budget.
