Job Postings

  1. Click Post New Job to open the job vacancy form.
  2. Fill in the Job Title, Department, Employment Type, number of vacancies, salary range, and closing date.
  3. Add a clear job Description and Requirements in the respective text areas.
  4. Save as Draft to review later, or set Status to Open to publish immediately.
  5. Use the Department and Status filters to narrow the vacancies list.
  6. Click View Applicants on any posting to jump to the Applications tab filtered for that role.
  7. Use Close to stop receiving applications once the role is filled or deadline passes.
Tip: Keep salary ranges updated — they appear in offer letters generated later.

Applications

  1. Switch between Kanban (pipeline view) and Table (spreadsheet view) using the toggle.
  2. In Kanban view, each column represents a pipeline stage: Applied, Screened, Interviewed, Offered, Hired, or Rejected.
  3. Click Move Forward (green) or Move Back (orange) on any card to advance or revert an applicant's stage.
  4. Use Add Application to manually log walk-in or offline applications.
  5. Filter by Position, Stage, Source, or date range to locate specific applicants.
  6. Click View on a table row to see full applicant details and stage history.

Interviews

  1. Click Schedule Interview and select the applicant from the dropdown (only those in Screened or later stages appear).
  2. Set the interview round, date/time, mode (In-person or Video), and location or video link.
  3. Select one or more interviewers from the staff list.
  4. After the interview, click Record Outcome to enter a score (1–10), recommendation, and feedback notes.
  5. The Upcoming section shows all interviews in the next 7 days for quick daily reference.
Tip: Scores of 7 or above trigger an "Advance" recommendation by default. Scores below 4 flag for Reject.

Offers

  1. Click Generate Offer and select an applicant whose application stage is "Offered" or "Hired".
  2. Set the offered salary, start date, reporting manager, benefits summary, and offer expiry date.
  3. Save the offer — it appears in the tracker with a Pending status.
  4. When the applicant responds, update the status to Accepted or Declined.
  5. Click Print Offer Letter to generate a formatted, print-ready letter with IACP branding.
  6. Lapsed offers (past expiry date, no response) are flagged automatically in the status column.

Onboarding

  1. New hires appear automatically in Onboarding when their offer status is set to Accepted.
  2. Click Checklist on any row to open the onboarding checklist modal.
  3. Tick off items across four categories: Document Collection, IT Setup, Orientation, and First Week tasks.
  4. Progress percentage updates automatically as items are completed.
  5. Once all items are ticked, click Mark Complete to move the employee to active staff status.
  6. Click Print Report to generate a printable onboarding status report for all current hires.
Tip: Assign a buddy from the same department to help new hires settle in faster.
