Tourism & Hospitality — How To Guide
IACP targets 1,000 American tourists/year and contributes to Uganda's goal of 6 million international visitors/year. This module manages the full visitor lifecycle from package creation to post-visit reporting.
Tab 1: Packages
Click + Add Package to create a new tour offering (Farm Tour, Coffee Experience, Full Day, Overnight, or Group).
Set the capacity, duration, and USD price per person. Add a description of inclusions in the textarea.
Set status to Active to make the package bookable. Use Archive to retire a package without deleting its booking history.
Use Edit to update pricing or capacity as offerings evolve.
KPI cards at the top show total packages, active packages, bookings this month, and revenue year-to-date.
Tab 2: Bookings
Click + New Booking and select the package. Total value is auto-calculated from group size × package price.
Enter the contact name, email, phone, nationality, visit date, and any special requirements.
New bookings default to Pending. Click Confirm to convert to Confirmed status.
Use the Cancel button for no-shows or cancellations. Cancelled bookings are retained for audit.
Filter by Package, Status, or Month to narrow the view for reporting or operations planning.
Booking numbers follow the format IACP/TRV/YYYY/NNN and are auto-generated.
Tab 3: Visitor Log
Walk-in visitors or research guests can be logged directly via + Log Visitor without a prior booking.
Confirmed bookings automatically populate the visitor log when a visit date is reached.
The Top Nationalities YTD bar chart on the right updates in real time as you add entries.
Track American visitors closely — the 1,000 American tourists/year KPI card shows progress toward the annual goal.
Add lodging units via + Add Room (types: Cottage, Tent, Room, Suite).
Click Check In to register a guest: select the room, enter guest details, check-in and check-out dates, and optionally link to a booking.
Click Check Out on any occupied room to calculate the total bill (nights × price/night) and return the room to Available status.
The 7-day availability grid provides a quick at-a-glance view of room status across the coming week.
Set status to Maintenance for rooms undergoing repairs — these will show as blocked in the grid.
Tab 5: Reports
Choose a report type and click Print Report to generate a formatted, print-ready document.
Visitor Statistics: shows visitor counts by month, nationality breakdown, and American visitor progress toward the 1,000/year target.
Revenue Report: shows booking revenue by month and package, with confirmation rates.
Occupancy Report: shows accommodation utilization per unit.
All reports include the IACP letterhead and reference number generated by rptHdr().
